Contexte

It an opportunity of working in a company evolved in industrial sector. This company seeks an  Executive Assistant who will have as main mission to attend to all confidential mail going to and coming from the General Manager and Business Controller and to operate the switchboard by attending to both incoming and outgoing telephone calls, and operate office equipment such as photocopying and fax machines, booking for flights, hotel bookings and visa follow ups . 
The post holder will be under the supervision of  the Human Resource Officer . 

Poste et missions

To attend to all confidential mail going to and coming from the General Manager and Business Controller.
-Attends to the Switchboard - incoming and outgoing telephone calls daily
-Attends to all general enquiries for head office and facilitates good communication and dissemination of general information
-To ensure that  Entreprise Shirts/Attire are well accounted for and a register maintained where all issues are recorded and signed for by those issued to.
-Maintains good relationships with external clients, Organisation  Management and staff
-Receives, records monitors and coordinates business correspondence Entreprise clients. 
-Ensures that all visitors are recorded in the visitors book with details of their purpose of visit and duration of visits.
-Ensures strict adherence to confidentiality when handling correspondence, reports and appointments. 
-To operate the switchboard by attending to both incoming and outgoing telephone calls, and operate office equipment such as photocopying and fax machines
-Supervisors the messenger and ensures that the office is well cleaned
-Screens all visitors and books for their appointments with senior management and various office bearers.
-To book for flights and accommodation for Entreprise  staff and visitors 
-Ensures that Travel Requests are approved

-To ensure good Office house keeping 
-To report all incident/accidents to the immediate supervisor
-To protect own health and safety  

-To protect health and safety of others

-To help minimize pollution of the environment

Profil et compétences requises

Qualifications and experiences required
-Grade 12 certificate with a pass in English;
-Diploma/certificate in Secretarial Studies / Front Office or Equivalent;
-Two years experience in a similar position;
-Knowledge of business grammar, composition and spelling.-.
Basic abilities
-Ability to review documents for accuracy and completeness
-Ability to operate office equipment such as fax and photocopying machines
-Ability to manage time.-.
Languages
Speak and write fluent French and English
Computing
-Perfect mastery of computing tools (Word, Excel and Power Point.
